This is a courtesy translation of our Dutch privacy statement. In case of differences, the Dutch version prevails.

At Giesbus Labeling Solutions, we attach great importance to protecting your personal data. In this privacy policy we explain what data we collect, why we do so, with whom we share it and what your rights are.

Who is responsible?

Giesbus Labeling Solutions is responsible for processing your personal data as described in this privacy policy.

What personal data do we collect?

We process personal data when you:

• Fill in a contact form or request a brochure or document
• Request a quote or demo
• Use the online print demo or the Label Cost & ROI Calculator
• Use the AI assistant on our website
• Enter into a customer relationship with us
• Visit our website

The data we (may) process:

• Name and company name
• Email address and phone number
• Address details (for customers)
• The information you enter in a form yourself, such as a comment or your answers in the ROI Calculator
• The questions you ask the AI assistant and the answers to them. We ask you not to type personal data or confidential information in it
• Your IP address and technical data about your device (browser, operating system), for website security
• Communication by email or phone

For visitor statistics we use Matomo on our own server, without cookies and with anonymized IP addresses. You can read more about this in our cookie policy (in Dutch).

Why do we process personal data?

We only process your data if there is a legal basis for it:

• Handling your request (contact, quote, demo, brochure, print demo, ROI calculation): to take steps at your request prior to a possible agreement, and based on our legitimate interest in contacting you about your request.
• Performing our agreement (supply of software, licenses, hardware, implementation and support): performance of the agreement.
• Administration and invoicing: legal obligation.
• AI assistant: answering your question, preventing misuse and improving the answers: legitimate interest.
• Securing and improving the website, including spam protection of forms and anonymous statistics: legitimate interest.
• Embedded third-party content, such as YouTube videos and Google Maps: consent through the cookie notice.

We do not make decisions about you based solely on automated processing that have legal consequences for you. The recommendation of the ROI Calculator is an indication, not a decision. The answers of the AI assistant are general information, not a decision or advice.

How long do we keep your data?

We do not keep your data longer than necessary for the purpose for which we collected it:

• Form submissions on the website: 6 months at most.
• Send log of emails from the website: 90 days.
• Questions to the AI assistant and the answers: 30 days at most. Email addresses and phone numbers are masked in advance.
• Correspondence about a request: as long as necessary to handle and follow up on your request.
• Customer and invoice data: 7 years, due to the tax retention obligation.

With whom do we share personal data?

We never sell your data. We only share data with parties that help us deliver our services, or if we are legally required to do so. We make agreements with processors to protect your data.

• SiteGround: website hosting.
• Cloudflare: website security and speed, and spam protection of forms (Turnstile).
• Microsoft 365: email, including messages sent through the website.
• Make.com: automatic processing of the print demo and the ROI Calculator.
• Loftware: ordering and managing licenses, and printing your label in the online print demo (through Loftware Cloud).
• Moneybird: accounting and invoicing.
• Anthropic: composing the answers of the AI assistant. Under its commercial terms, Anthropic does not use this data to train models.
• Partners and subcontractors: if they carry out work for you on our behalf, they only receive the data needed for it.

After your consent through the cookie notice, YouTube and Google Maps load content on the website. To show our Google reviews, your browser connects to Trustindex.

Transfers outside the European Union

Some of these parties, such as Microsoft, Cloudflare, Anthropic and Google, may also process data outside the European Economic Area, for example in the United States. This only happens with appropriate safeguards, such as the EU-US Data Privacy Framework or the standard contractual clauses of the European Commission.

Security

We take appropriate technical and organizational measures to protect your data against loss, misuse or unauthorized access. The website uses a secure connection (HTTPS), and our forms are protected against spam and misuse.

Your rights

You have the right to:

• Access your data
• Have incorrect data corrected
• Have your data deleted
• Have the processing of your data restricted
• Object to the use of your data
• Receive your data in a common format or have it transferred
• Withdraw your consent at any time

You can send requests to [email protected]. We respond within one month. If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Changes

We may change this privacy policy, for example when we start using a new service. The most current version is always on this page.
